This article explains how to export your product data - including assigned GTINs - using an XLSX formatted spreadsheet.
Note: these are quick steps. For more details, please view the Product Create/Manage User Guide in the Help Center.
1. Click the Product link from the top navigation bar.
The My Products screen displays, listing all the products created for your company in GS1 US Data Hub, spanning all prefixes (if applicable).
2. You have three ways to export products:
a. Export Individual Products.
Click the checkbox for each product to export. After you have selected the individual products, click the Export Selected Products button.
b. Filter Products, then Export Just these Filtered Products.
You can limit the number of records you want to import using the filtering tools. For example, you may want to export only In Use products. You can then click the Export All Products button. Only the filtered products are exported. For the date field, you can enter a specific date to display just the products modified on that day.
c. Export All of the Products Stored in GS1 US Data Hub.
Click the Export All Products button. All products will be exported, including those in the Draft, PreMarket, In Use and Archived status. Please note that the maximum number of products that can be exported at one time is 100,000, so if your company has more than 100,000 records, use the filters to display less than 100,000 records. You can then run additional instances to export the remaining data.
3. Click “Yes” when the Export Products dialog box displays. The message "Export Request Successfully Submitted. Click the Export icon for file progress and results." displays in a green window.
4. Click the Export Center Icon on the upper right corner of the screen. The Export Center page displays, with the most recent export displayed at the top. The Export Center also displays any other product and location export instances requested by all of your company users.
Note: The XLSX files are removed after 30 days. When these files are removed, the product data stored in GS1 US Data Hub is not impacted.
5. Click the file link to open the XLSX file. How this file displays will vary depending on your Web browser. When you open the XLSX file, you'll see that products are sorted numerically, in order of GS1 Company Prefix, then GTIN. Any products in the Draft status are listed first because the GS1 Prefix and GTIN cells are blank. To learn the definitions of the values within the XLSX file, view the;Product Import User Guide, Appendix A.
Q. Can I also export my barcode images?
A. No, each barcode image must be downloaded individually, when you are viewing the product detail record that is in the PreMarket or In Use statuses. When you export product data, the barcode images (artwork) are not included.
To download the barcode image, view the product detail record (in the PreMarket or In Use status), then click the View Barcode button, then click the Preview Barcode button. PreMarket products will show a barcode symbol image stamped “FPO” (For Position Only). This is not the final barcode. The product detail record must be set to In Use ;before the final barcode symbol can be created for download.
Q. Can I export all available GTINs - the "unused" GTINS that have NOT been assigned to products?
A. Yes, use the "Download All Available GTINs" template on the Import page to obtain a list of available GTINs that have not been assigned. You can specify the quantity of available GTINs you want to view, based on the GTIN availability for your Company Prefix. You can view "GTIN Availability" via the Capacity dashboard, displayed on the GS1 US Data Hub home page. To get started, click Product, then the Import Products link on the right. View the Product Import User Guide for details.
Q. Why is there a GTIN-8 (EAN-8) and GTIN-13 (EAN-13) column in the Export spreadsheet?
A. These columns are used for those members who have licensed a Company Prefix for GTIN-13s from GS1 US, or members who have imported products for a Company Prefix for GTIN-8s or GTIN-13s via the Enterprise Edition subscription.
Q. Why is there a Last Modified Date column in the Export Spreadsheet?
A. This date represents the last time that this product detail record was modified by a user in GS1 US Data Hub.
